SUMMARY
This is a Full-time non-exempt position that operates as support to the BH SAP Department in a
fast-paced work environment. Includes specific responsibilities for a full range of duties for the SAP program. Position requires strong organization and communication skills.

Primary work hours will be 8:30AM-4:30PM with a ½ hour unpaid lunch, (37.5 hrs./week) unless otherwise agreed upon.

Compliance:
As with all WCSI positions, it is the expectation that employees adhere to WCSI, County, State and Federal guidelines, regulation, policies, and laws which govern the business and service of WCSI as well as regulations governing the Behavioral Health program.

This position requires the employee to perform their daily job duties and responsibilities in a structured work environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned as deemed necessary by management.

SAP Administrative Assistant Duties:
The Administrative Assistant position provides direct support to the SAP supervisors and SAP program and is responsible for quarterly data entry for the State SAP System. This includes collection and tally of monthly data for both behavioral health and drug and alcohol referrals.

Maintains E-System reports for each district and provides updates regarding errors, workflow, data sheets, number of assessments, weekly declinations and tracking assessment only data.

Position will be responsible for meeting minutes related to SAP, BH Manual section edits, tracking of SAP required material as relates to SAP compliance and training, etc.

This position will assist with mailings specific to the SAP department and organization of Emergency Behavioral Health (EBH) team resources for each district.

Responsible for auditing follow-ups, declinations of assessment, and errors associated with E-System, as well as preparation materials for summer programming including but not limited to flyers, calendars, announcements and marketing materials, etc.

The Administrative Assistant will be a trained member of the Emergency Behavioral Health Team and shall be expected to respond to an emergency mental health crisis event in any district to provide postvention support to the school administrators, faculty members, and students, as necessary.

This position will be able to prioritize work assignments, multi-task and meet deadlines. Ability to work as a team member with the BH Department staff to achieve organizational goals. Strict adherence to policies and practices of confidentiality in all work completed as it applies to both clients and agency personnel. Performance of all job duties will effectively support and contribute to a positive work environment. Capability to work with little supervision and exercise sound judgment in making decisions. May be assigned other duties, which can include support to other BH programs.

Professional/Technical Expertise:
Adequate knowledge of standard office procedures, practices and conduct to maintain professional office equipment. Attention to detail for data collection and audits is a necessary component of this position.

QUALIFICATIONS:

Education and/or Experience:
Associate’s degree in psychology, counseling, or related field with five years of Behavioral Health experience or

Bachelor’s degree in psychology, counseling, or related field with one year of Behavioral Health experience required, two years preferred.

EBH Training are a requirement of this position.

Language Skills:
Effectively communicate and problem solve with all individuals involved in SAP; strong interpersonal skills, effective oral and written communication skills required.

Certificates, Registrations, Licenses:
Valid PA Driver’s License, Proof of Valid Auto Insurance, Act 34 (Criminal Record), and Act 33 (Child Abuse) and FBI Clearance. There will be monthly screenings of PA Medicheck List, LEIE (List of Excluded Individuals/Entities) and SAM (System for Award Management).

ENVIRONMENT, PHYSICAL and MENTAL CONDITIONS

Physical/Mental Demands:
While performing the duties of this job, the employee is regularly required to operate a motor vehicle, sit, stand, walk, bend and lift objects of up to 10 pounds. The employee regularly uses a computer, phone, fax, copier, and other essential office equipment to carry out daily work assignments. The employee will be required to operate a motor vehicle. Substantial problem solving in response to urgent/emergency situations which may require immediate action is an expectation.

Work Environment:
The service of this job is school based. While performing the duties of this job the employee may be exposed to a combination of office and outside/travel environments both inside and outside the boundaries of Westmoreland County. This position may be asked to provide linkage, monitoring, access to services; informal support network building for clients being served in a client driven fashion where and when it is needed. This position will be required to conform to WCSI’s policies, as well as the applicable cultural environment of the school setting assigned (included but not limited to professional dress and professional conduct).

Position Funding:
This position’s funding is determined by WCSI’s allocation process. Incumbent in this position may be required to complete a WCSI Time Study, frequency determined by Fiscal Management, for purposes of this allocation process.
